Extra users & sub-accounts

Control for teams, ease for everyone

Work with multiple colleagues or departments in one clear, central environment. The admin stays in control with roles, permissions and groups. Ideal for marketing teams in SMEs, government, healthcare and education.

One central environment

One platform for your entire organisation

As organisations grow, it almost always happens: everyone starts using "just" their own tools. The result is fragmentation, extra costs and little overview.

With MailCamp you work from one central environment, but you can still let teams or departments work separately through sub-accounts or user groups.

Control & oversight

The admin stays in control, without it getting complicated

In teams you want speed, but control too. That is why the admin can decide exactly who is allowed to do what: from only sending campaigns to full access to lists, segments and templates.

You can switch features on or off per group, so the interface stays simple for a "basic" user, while power users have everything at their disposal.

Simple interface: only what is needed

Benefits

For admins and users

Roles & permissions per user or group

Features on/off: clear for non-digital users

Fewer mistakes, fewer "who sent this?"

Central guidelines, decentralised execution

Who it is for

Perfect for organisations with teams, departments or locations

Extra users (seats) and sub-accounts are especially valuable if several people send email, or if departments want to work independently within clear frameworks.

  • Central templates, filled in locally
  • Segments per team/location
  • Consistent style, less maintenance
  • Work faster: no rebuilding for each mailing

Collaboration

Collaborate without duplicate work

Teams can collaborate by sharing templates, lists and segments within a group. Everyone works from the same foundation, with the same style and agreements.

That prevents your newsletter from getting a different look "per department", while the work can still be divided.

Roles & responsibilities

Central control, decentralised execution

Main account

Central communications / admin

  • Manage accounts and access (roles/permissions)
  • Safeguard templates (house style)
  • Overview of mailings and statistics
  • Guidelines and governance
Sub-account or group

Departments / teams

  • Create own content and campaigns
  • Manage own segments and lists (within frameworks)
  • Send to your own target group yourself
  • Own reports (plus central insight)

Compliance

Suitable for organisations with compliance requirements

For government, healthcare and education, "just picking a tool" is usually not an option. You want to be able to explain where data is stored, how your management is set up and how you limit risks.

MailCamp helps with this through Dutch data storage, a clear management structure and support that really helps you move forward.

FAQ

Answers to the most frequently asked questions

At MailCamp we answer all your questions about our software solutions and services.

What is the difference between sub-accounts and extra users (seats)?

You use sub-accounts when departments, labels or locations really need to work separately (own lists, campaigns, statistics). Extra users are additional login accounts within one environment, handy for one team working together. In practice: teams = seats, organisations with multiple departments/locations = sub-accounts.

Can departments or locations work completely separately without seeing each other's lists?

Yes. With sub-accounts or a tight permission structure, departments can work independently with their own lists and campaigns, while other departments have no access to them. That is exactly why this model works for government, healthcare, education and larger SMEs.

How do roles and permissions work for teams?

You decide per user or per group what someone is allowed to do: for example only create campaigns, also send them, manage lists, or only view reports. This prevents mistakes and keeps things simple for basic users, while power users simply get all the marketing functionality.

Can a central communications department oversee everything and still let teams work independently?

Yes. The idea is: central control, decentralised execution. A central admin can handle management, guidelines and (depending on the set-up) insight into statistics, while teams run their own segments and campaigns. That gives you an overview without having to do everything yourself.

Is this suitable for compliance-driven organisations (government, healthcare, education)?

Yes, because you can set up control and governance: clear roles and permissions, separate working environments where needed, and clear agreements about data and management. For sectors where compliance is a hard requirement, this helps keep processes explainable and manageable.
